Behind the Data: How We Build Our Weekly Top 10 Reports

Every week, we shine a spotlight on the industry’s top performers by releasing our Top 10 Loan Officer (LO) and Company reports, focusing on a different state each week.

These reports are a great way to see who is making waves in your local market. But we often get asked: How do you pull this data? Transparency is at the core of what we do. So, we’re pulling back the curtain to show you how our data engine works to build these weekly leaderboards.

Where Our Data Comes From

Before we can rank the top performers, we need to gather the raw information. We rely on two primary, highly accurate sources to build the foundation of our reports:

  • Licensing Data: All licensing information is from the NMLS (Nationwide Multistate Licensing System), ensuring we have the most up-to-date and compliant profiles for every professional.

  • Mortgage Data: Our production metrics come from public record mortgage data, aggregated at the county level across the country.

The Filtering Process

With millions of records in our system, building a state-specific Top 10 report requires precision filtering. Here is how we drill down to the numbers that matter:

  1. State-Level Pull: We start by isolating all mortgage transactions recorded within the specific state we are highlighting for the month.

  2. Isolating Core Business: Volume can be inflated by various loan types, so we filter the data to include only Purchase and Refinance transactions. This ensures our reports reflect true, core mortgage production.

While our data is comprehensive, there are a few specific types of production and scenarios that are not reflected in our weekly reports:

  • Co-op Loans: Because this information is kept on private lender documents rather than recorded in public records, co-op loan volume is not available in our system.

  • Commercial Production: Our reports focus strictly on residential Purchase and Refinance transactions.

  • Loans Closed Under a Different NMLS ID: If a Loan Officer assisted on a file, but the loan was ultimately recorded and closed under a different NMLS ID on the final documents, that volume is credited to the NMLS ID on the public record.

  • County Reporting Delays: Because we rely on public records, there are occasional situations where a specific county is delayed in reporting. This can cause temporary discrepancies in total volume expectations.

Ranking the Loan Officers

When it comes to individual LOs, we want to highlight the professionals who are dominating a specific state, but we also want to give them credit for their entire book of business.

Here is how the LO ranking works:

  • First, we identify the loan officers doing the highest volume of business within the spotlighted state.

Once those top LOs are added to our shortlist, we rank them based on their total nationwide production. Why do we do it this way? An LO might be licensed and crushing it in Texas, but also closing significant volume in neighboring states. By ranking them on their total production, we provide a true reflection of their overall market power and success as an originator.

Ranking the Companies

For mortgage companies, our methodology shifts slightly to reflect true local market share.

Here is how the Company ranking works:

  • We follow the exact same initial steps: pulling all state transactions and filtering for Purchases and Refinances.

  • However, unlike LOs, companies are ranked strictly by their production within that specific state.

Why do we do it this way? When a recruiter, borrower, or competitor looks at a state-specific report, they want to know which brands own that specific backyard. A national mega-lender might have massive overall volume, but we want to highlight the companies truly driving the local market.
